OmniDocs is an Enterprise Document Management system for creating, capturing, managing, delivering, and archiving large volumes of documents and content. OmniDocs supports production level scanning of documents and automatic filing into DMS through OmniScan. Access rights, privileges, user authentication and an option for single sign on through LDAP provide controlled access to folders and documents across the enterprise. OmniDocs supports deployment in a distributed environment. OmniDocs Record Manager takes care of complete record lifecycle including requisition, storage, movement and disposition of records. It builds an enterprise wide content management infrastructure, which improves the creation, storage and access of corporate assets. Highly scalable architecture of OmniDocs provides a flexible environment to match the increasing demand of the business. Structured document indexing enables fast retrieval of documents.

Image-enabled Web applications enable linking of documents involved in the transaction and allows user to view them through the existing application with a single key-stroke. Image enabling integrates existing applications with the Document Management System.

Newgen EDMS solution provides connectors that integrate existing third party business applications like SAP with OmniDocs, making the documents available whenever needed during the transaction. OmniDocs open APIs allow it to integrate with almost all available ERP, Core Banking and Insurance applications.

One can store the documents in DMS and associate specific fields for indexing. Later on, documents can be retrieved on the basis of these indexes through Image enable applications on Web.

Image enabling allows the applications to access the Document Management features of OmniDocs through a Web-based interface and allows scanning of documents using its interface, which are then filed in OmniDocs under a logical hierarchy.

The in-built workflow engine of OmniDocs allows collaborative working on documents in a secure environment. The workflow can be configured around an ad-hoc or a predefined route.

The workflow supports automated processing, tracking and approval of online forms. With strong search, reporting and monitoring capabilities like track sheet, event based reminders, notifications, etc., OmniDocs workflow is capable of handling almost all simple intra/inter departmental document routing tasks such as approvals, requisitions, grievance handling, etc. File Tracking and Public Grievances Handling are typical use cases of OmniDocs workflow.

Newgen’s collaboration platform is built using OmniDocs collaborative workflow and Knowledge Manager component and provides a contextual framework for online collaboration including
discussion forums, chat sessions, live meetings, and interactive polls. Here members can engage in a group decision-making process sharing experiences and knowledge, and can work collaboratively on different projects.

Collaborative working on a workitem through shared and secure notes is also provided by OmniDocs. OmniDocs provides the basic infrastructure to enable a Workflow system to process, archive and refer paper records, electronic documents and forms. It thus creates a single knowledge repository for all documentation, e-mails, discussions, etc. around a project or practice for later reference.

OmniDocs ensures content security and accuracy and thereby helps in reducing enterprise risks. OmniDocs provides comprehensive reporting tools which helps the administrators to generate reports and track the proceedings of the content across the workflow.

Strong password configurability feature allows the administrators to maintain the authenticity of users, thereby
helping maintain the integrity of information stored in OmniDocs.
